1. What is the Bulk Edit function?

The Bulk Edit function allows you to apply or edit parameters for different variables at once. Multi-select and bulk edit can be done for tasks, milestones, checklist items and projects.

2. When to use the Bulk Edit function

  • Assign responsible

    • Assign one responsible for all tasks, milestones, checklist items and projects

    • Vacation handover of tasks simplified

    • A new colleague replacing an old one

    • Plan a new project / create a template

  • Assign an approver to multiple checklist items

    • Ensure approved handovers between project phases

    • Quickly set up a project template with recurring approvers

  • Bulk status update

    • Change status and comment for all selected tasks

    • Change the start and end date of multiple tasks, as well as their duration and add a comment

    • Set end dates and comments for milestones and checklist items

    • Set end dates for a mix of tasks, milestones, and checklist items

  • Send out feedback requests to responsibles of all selected tasks

  • Delete selected tasks

3. How to use Bulk Edit with examples

Let's see how the Bulk Edit function can be used when assigning the role of responsible for all tasks.

  • Open the List view of the tasks in your project

  • Select the tasks by using the checkboxes next to the task names

  • Click on Assign responsible in the bottom bar menu

  • Select person and click Assign

Now, we will explore how to use the Bulk Edit function when changing the role of assigned from one person to another:

  • Open the Search and use the task domain

  • Filter all tasks where you want to change the task responsibility

  • If needed, narrow the search further down

  • Select all tasks by using the checkboxes Select all

  • Click on Assign responsible in the bottom bar menu and search for the new colleague who should be responsible now

You can set an approver for checklist items in different projects:

  • Go to the search for tasks and open the filter

  • Select several projects

  • Select task type: checklist item

  • Press Search

  • Select all matching checklist items from the search results list

  • Click on Assign in the bulk edit panel at the bottom

  • Select Assign approver

  • Choose the correct person from the member list

  • Press Assign and close

You can also use the bulk edit function from the Portfolio view.

  • Go to the Portfolio section in the left bar menu

  • Select the projects by using checkboxes

  • Apply the necessary edits. You can Assign responsible, Update status or Delete selected items simultaneously.

Changing the start and end time of multiple tasks is easy with bulk edit

  • Go to the List view within a project and check off tasks you would like to bulk edit

  • Click the Change Dates button at the bottom navigation bar

  • Modify the start and end dates, with the option of adding comments to the change

  • Click the Proceed button to apply changes

Tip: Bulk editing milestones, checklist items, or a mix of tasks, milestones, and checklist items will allow you to ONLY modify the end date.
