How do I set permissions in projects and tasks?

What is a permission? Who can set permissions? Where can I set access permissions? How can I set permissions?

In this article you will learn:

1. What is access permission?

Access to projects and tasks is controlled via permission roles. These define the access and editing rights of the respective role. You can either give access to the whole project or just to a single task.

There are three permission roles in Allex:

  • Admin - Has all permissions to edit a project (create tasks, change project setting, add/remove project members and change access permissions)

  • Editor - Can view and edit a project (create, edit and delete tasks, add project members)

  • Viewer - Can only view a project, cannot edit it

Other permission rules:

  • If a project belongs to an organization, all members of that organization have viewer access rights

  • All organization admins automatically have admin access rights within all projects of their organization

2. Where and how to set a permission role

  • Navigate to your project

  • Click on the Share button in the project overview header

  • Click on the Add new members button in the top right corner

  • Search for members of your organization or just scroll the list

  • Select the member and choose the permission role from the dropdown

  • The permission role that a project member has, applies to all tasks, milestones and summary tasks within this project

  • Admins and Editors can assign a responsible for summary tasks, tasks or checklist items directly in the list view or in the focus map, independently of their project permissions

3. How to invite external collaborators and set permissions

Invite external collaborators to a project

  • Click on the Share button in the top right corner of the project header

  • Click on Add new members

  • Enter the e-mail address of the external collaborator in the bottom input line and select the permission type (Editor, Viewer, Admin)

  • When you send the invitation, they will receive an email to register with Allex and be directed to the project

Assigning tasks and checklist items to external employees

  • Click on the avatar of the task or checklist item

  • Enter the e-mail address of the external collaborator in the bottom input line

  • When you send the invitation, they will receive an e-mail to register with Allex and be directed to the task

  • The external collaborator receives editor permissions for the task or checklist items

4. What happens next

  • The member can now access and edit the project and tasks according to the permission role
