What are the different views in Allex?

What does each view in Allex do? What is portfolio view? How do I use the navigation bar? How do I access my organization's view?

In this article you will learn:

1. What is Portfolio view?

Portfolio view gives a snapshot view of all projects within your business portfolio

  • List: Lists all projects within the organization with their due dates and responsible team members

    • Clicking a project will send you to the single project view

    • You can also customise your columns using the Add field button

  • Timeline: Timeline view gives a staggered view of all project durations, along with their milestones and buffer zones

    • The Current Day marker shows where the project is for present day while the Calendar headers illustrate yearlong scheduling for projects

    • Timeline view allows you to easily drag projects along the calendar grid to adjust project deadlines as needed in relation to other projects

    • Timeline view can be filtered by week, month, quarter, year, and more

    • The Workload toggle shows you a graphic of a team's total workload by global distribution and by project, as well as by current allocated capacity and available capacity.

    • The Highlight function lets you visualize the task a specific role is responsible for within a project. You can further highlight specific roles within project phases by using the sort projects by specific role toggle

  • Reporting: Reporting view uses a Health Chart to show how likely a project is to hit its deadline. Projects in the green zones are on track while those in red are either in risk or overdue

    • The Health Chart calculates a project’s health by comparing the progress on critical path percentage by the Time buffer consumption percentage

    • Reporting view also shows you the number of active projects in your portfolio, those delayed and completed, and the total projects in the portfolio’s history

Tip: Use search and filter options to view information relevant to you. Use the Save Search (Bookmark) button to save your searches and filters for later use

2. What is My work view?

My Work shows you all tasks you’re assigned to and gives you access to the My Work menu

  • My Day and My Tasks show you tasks assigned to you across all projects that can be viewed as a list or a board

    • The My day tab shows you tasks scheduled within your current workday

    • The My tasks tab shows you tasks scheduled in the future

    • Board View allows you to create custom groupings for tasks, as well as filtering groups by status or project

  • Folders and projects are also displayed in the My Work menu

    • Folders let you better organize your projects

    • The Favorites folder shows you projects you’ve favorited for quicker access

    • To access Project view, click on a project through the My Work menu

Tip: Use search and filter options to view information relevant to you. Use the Save Search (Bookmark) button to save your searches and filters for later use

3. What is Project view?

Project View gives you an in-depth look into your projects

  • Home: Shows an overview of the project, including project details, upcoming tasks, linked projects, activity, projected Health Chart, and Booking Information

  • List: Shows a list view of all tasks within the project, along with custom fields

  • Board: Shows a board view using cards that can be categorized into different categories. You can also sort groups by Status, Responsible, and Summary

  • Net Plan: Gives a flow chart view of tasks linked together to illustrate a project's flow. The Show Critical toggle highlights the critical path to completion of the project.

  • Timeline: Shows a timeline view of tasks and subtasks for a project, including buffer zones and Milestones. The blue marker notes the current day. The red marker shows the expected due date of the project.

4. What is Team boards view?

Team boards View lets you group members of your organization into teams, displayed in the overview and Team board’s menu. Clicking on a Team allows you to view their progress with tasks in List, Board, or Timeline view.

  • List view shows all tasks assigned to team members across all projects

  • In Board view, task cards are grouped under individuals, but can also be sorted by Status, Assigned Resources, and Projects.

  • With Timeline view, you can see an overview of your team members and their assigned bookings, assign resources to tasks and quickly switch booking between team members, and directly add absences using drag & drop.

    • The Workload toggle gives you an overview of your team's capacity per day or week.

    • The Booking of other Boards toggle helps you check the availability of a resource before assigning them to a new task by showing when they are already booked in another team.

5. What is Organization view?

Organization View can be found by clicking on your avatar in the lower left corner, selecting Manage Organizations, and choosing the organization you want to manage

  • Members: Shows you all members in the organization along with their permissions and licenses. You can add new members by clicking the Add member button and delete or edit existing members using the three-dot menu next to their name

  • Settings: Lets you change the name of the organization

  • Resource Settings: Lets you add, edit, or delete Roles and Working Time Models for the organization

  • Project Settings: Shows your organization’s custom fields for projects and tasks, such as text fields, selections, and URL fields.

    • To add new fields, click the + icon

    • To delete a field, click the three-dot menu to the left of the field

  • Calendar: Add a custom calendar to your organization to mark certain non-working days, such as public or regional holidays (e.g. New Year). These will then be disregarded from resource and project planning. Several calendars can be assigned to each resource and project.

  • Subscription: Gives information on how to change the details of your billing, add licenses, and leave a message for your salesperson

6. What is the Main navigation sidebar?

The Main Navigation Side Bar gives you access to Global Search, Notifications, My day view, Portfolio view, Team boards view, the Allex help center, the Create new project button, and your profile
